We are seeking a highly organized and detail-oriented Personal Assistant to provide exceptional executive administrative support to our leadership team. The ideal candidate will be responsible for managing calendars, coordinating travel, and handling correspondence. This role requires a strong understanding of office procedures, excellent communication skills, and the ability to work independently in a fast-paced environment.
Responsibilities:
- Manage the schedules of senior executives, ensuring seamless coordination of meetings, appointments, and events
- Coordinate travel arrangements, including booking flights, hotels, and rental cars
- Prepare and distribute meeting materials, including agendas, minutes, and presentations
- Provide administrative support to the executive team, including answering phones, responding to emails, and handling correspondence
- Maintain accurate and organized files, both physical and digital
- Transcribe meetings, documents, and other materials as needed
- Utilize Google Suite and Microsoft Office to prepare and edit documents
- Proofread and edit written materials to ensure error-free content
- Assist with special projects and events as needed
- Demonstrate proficiency in phone systems and maintain confidentiality of sensitive information
- Collaborate with other administrative staff to ensure seamless support to the executive team
