Job Title: Meetings and Events Manager
Job Location: US, East Coast - Remote
Job Duration: 12 months contract, Possibility for extension
Job Summary:
- Meetings & Events Manager will be a key contributor to the overall Meetings & Events Operations Team to support local, regional and Global meetings.
Key responsibilities for this role include:
- Manage and execute meetings and events with participants for up to 250 people for internal meetings such as: Sales Meetings, Training sessions, Functional Meetings and any other internal meeting assigned.
- External / Complex Meetings, such as: Commercial, Medical and Clinical Advisory Boards, HCP Summits, Investigator Meetings etc.
- Manage meeting strategies, sourcing, planning, and execution of assigned Meetings, including but not limited to venue sourcing, hotel negotiations, pre-planning activities, budgeting, on-site event management, post event reconciliation and oversight of Meeting Planning Agencies.
- Cross functional business partnership: understanding key business area priorities and providing support (leveraging internal/external resources)
- Partners with relevant stakeholders (e.g., Compliance, Finance, Travel etc.) to conduct M&E activities according to VM&E and processes or if needed locally.
- Accountable for managing meeting budgets, meeting reconciliation, spending and contract documentation within the M&E platform CVent and related systems.
- Support the M&E Team and the client's functions to drive change management in the regions and locally for the new VM&E policies, and processes.
- For ensure all required approvals are in place for the various meetings; Example: HCP spend limits are adhered to or have the appropriate approvals.
- Manage all meetings within the CVENT platform from sourcing, registration, budget management, TOV reporting, commission collection and meeting reconciliation etc.
- Accountable and responsible for the accuracy and being compliant of all managed events.
- Manage any assigned tasks as directed.
Minimum qualifications for this role are:
- Bachelor's Degree in Event Management or a related field such as Hospitality Management or similar, with a minimum of 5-8 years of experience managing meetings of up to 250 pax.
- Must have at least 3 years of Pharmaceutical Meeting Management experience (advisory boards, Investigator meetings, Clinical Meetings etc.). Good understanding of HCP requirements.
- Proficient in managing Budgets, forecasting, contract negotiation, cost analysis.
- Well versed with MS Office (Word, Excel, PowerPoint, Outlook) and CVENT, the company event management software
- Ability to work as a team player or independently to execute projects
- Highly proactive, communicative, organized and detail oriented. Strong project management skills
- Ability to work under pressure and manage complex situations confidential and discreet.
- Willingness to travel to manage projects and be on site at key events as required. Estimated travel 30%.
- Proficiency in speaking, comprehending, reading and writing English is required.
