Job Description
Changing Healthcare from the Front Desk Out
We staff intake coordinators for top-tier healthcare clinics across the U.S. If you're someone who thrives in a fast-paced clinic, communicates like a pro, and keeps the wheels turning behind the scenes — we want you. You won't just work at a clinic. We'll match you with one that aligns with your personality, your goals, and your standards.
Our founder started as an Intake Coordinator. We've been in your shoes — and we built this company to make sure the best clinics and the best people find each other.
What You'll Do:
- Be the first friendly face patients see — and the voice of professionalism behind the front desk.
- Gather and verify patient intake forms, insurance info, and referral paperwork.
- Coordinate appointments, pre-authorizations, and follow-up schedules with clinical teams.
- Keep the back office running smooth with detailed records in EHR/EMR systems.
- Communicate effectively with providers, nurses, and support teams to ensure seamless care.
- Respect HIPAA guidelines like they're law — because they are.
- Handle insurance verifications and help patients understand their coverage.
- Follow up with patients post-visit to ensure nothing falls through the cracks.
What You Bring to the Table:
- At least 1-2 years of healthcare, medical office, or patient support experience.
- Comfort with EHR systems (bonus if you've used Epic, Kareo, or similar).
- You're reliable, organized, and good under pressure.
- You've got empathy, tact, and the ability to talk to patients with clarity and care.
- High school diploma or GED required; bonus points for some college or medical training.
Bonus (but not required):
- Bilingual (Spanish is gold).
- Insurance billing/verification experience.
- Familiarity with referrals, pre-auths, and insurance networks.
This is NOT a remote job.
You'll be working in person at one of our partner clinics. We only work with clinics that treat their people like assets, not expenses.
Why This Role Matters:
This isn't front desk fluff. Our best intake coordinators are of their clinics. They spot errors before they become problems. They help patients feel cared for before they even see the provider. They make the entire business run better — and they're treated like it.
We don't "hire." We . That means we work to find the right fit between you and the clinic — not just a warm body in a seat. That's why our average placement stays 3+ years. Clinics trust us. Candidates love us. If you're the kind of person who brings their A-game every day, this could be the last job app you fill out for a long time.
Apply Carefully. Only the top 5% of applicants make it through.
Please complete this application carefully. We'll reach out within 3-5 business days if you're a fit.
